Thinking
of Converting
to Acumatica?
Say Hello to Your
Team of New Staff Accountants
.jpeg)
"For better or worse (and.
unfortunately, it's often for worse),
putting 'everything under one pane of glass' renders just about everyone in your company a member of your accounting team.
In our experience, given the intensive training that's necessary to make that arrangement work, only the most seasoned teams -
teams with very little turnover - get full benefit from an expensive ERP
system such as Acumatica. In the worst cases, the data pollution that follows a conversion to a fully-integrated ERP solution leaves the decision makers wishing they'd opted for a simpler solution."
Software Salesman on Line 2
Beware of the "Under One Pane Of Glass" Pitch
We're betting you've recently heard from someone who wanted to sell you new software. Perhaps an ERP such as Acumatica or Microsoft Dynamics® or Sage®. The features and capabilities of these fully-integrated platforms, you're told, are the solution to every pain point, issue or problem you've ever faced as a Developer, Homebuilder or General Contractor. The silver bullet, you're told, is for you to "put everything under one pane of glass."  But there are real problems with that pitch.
Focus on People First. Software Second
First, in our experience, many (most?) of the accounting-related pain points, issues and problems Developers, Homebuilders and General Contractors commonly fret about actually have nothing to do with which software platform they're using but, rather, are the result of who's running, and who's in, the Accounting Department. Unless and until that issue is addressed and resolved, upgrading to a new software platform - be it the latest, greatest version of Sage, Foundation®, Acumatica or some other crazy powerful ERP system - isn't going to solve the problem. In fact, it often makes it worse.
To Avoid Data Pollution, Maintain Appropriate Control Over Who Gets to Input Data Directly into the Accounting System
Second, migrating to an ERP such as Acumatica redefines the Accounting Department, this new "everything under one pane of glass" system immediately rendering everyone - from the CFO on down to the most junior member of the Field Staff - now capable of inputting, and expected to input, job time and cost information and other data that now finds its way straight away up into the general ledger and, by extension, straight into the company's financial and management accounting reports. Garbage in, garbage out. In the worst cases we've seen, the data pollution that followed a conversion to a fully-integrated ERP solution left management wishing they'd opted for a simpler solution.
Plan for Turnover by Choosing a System that's Widely Installed and that a Large Candidate Pool Already Knows How to Use
And, lastly, if you're currently on legacy software such as QuickBooks Desktop Enterprise Contractor's Edition or Sage 100 Contractor, a migration to Intuit Enterprise Suite is your best option. Purpose-built for Developers, Homebuilders and General Contractors, and built on the backbone of QuickBooks Online, anyone who knows how to use QuickBooks - and there are a lot of people who do - can quickly adapt to this advanced version of the software.

1998 was a Great Year for Server-Based, Desktop Software. And while the Server Rooms have Since Disappeared, Oddly, the Software Remains.
If the smell that hits you when you log in to QuickBooks Desktop or Sage 100 Contractor reminds you of opening a refrigerator with a three-month old gallon of milk in it, there's a logical explanation:
Desktop Programs Are Past Their "Use By" Dates
The year was 1998 (27 long years ago). In a play to compete for the homebuilder and general contractor markets, both Intuit and Sage rolled out new software offerings custom tailored for that audience. Intuit introduced QuickBooks Desktop Enterprise Contractor's Edition (the person responsible for naming that software being paid by the word) and Sage introduced Sage 100 Contractor. Although both of these contractor-centric software offerings were presented as "new" in 1998, fact is both were built atop technological foundations that were built long prior to 1998.  QuickBooks Desktop was first introduced in 1992; in Sage's case, their "new" offering was, in fact, a rebranded version of MAS90, MAS90 being first introduced as a DOS-based program in 1985.
Although QuickBooks Desktop and Sage 100 Contractor have both served as a solid accounting and project management tool for many small to mid-sized homebuilders and general contractors, their technology foundations are now badly outdated. Both being designed decades ago, and both being first introduced in 1998, QuickBooks Desktop and Sage 100 both lack many of the features and integrations that today's modern platforms offer.
Lipstick on the Pig

QuickBooks Desktop and Sage 100 Contractor are server-based, desktop solutions, which means remote access sucks, requiring workarounds such as VPNs or remote desktop software. Generally speaking, we find the cost of rendering desktop programs "cloud like" is roughly equivalent to the cost of a subscription to an online, cloud-based alternative. This workaround, which typically involves paying to host your desktop software at an offsite server farm and then, further, paying for the ability to access that hosted desktop file via the internet, has resulted in an interesting phenomenon: server rooms, once common sights in pretty much every office, have gone the way of VHS and Beta tapes, fax machines and dial up modems. And yet the server-based, desktop software those rooms were built to house and serve up stubbornly continues to this day. Courtesy of an endless and steady stream of lipstick, smeared on the desktop pig to render it similar to, but never same as, true cloud-based software.

It's Time to Migrate

The bottom line for all of this is really quite simple: if your business still relies on desktop software, it's time to migrate. But if you need additional reasons, here are a couple of good ones for you to think about.
Accessibility
Unlike desktop software, modern construction management platforms are cloud-native, allowing teams to collaborate from anywhere. Field teams can update project data in real-time, executives can monitor real time dashboards on-the-go, and stakeholders can view progress without delays. This level of accessibility improves efficiency, enhances decision-making and facilitates improved client communication.

Integration and Automation
Using Intuit software as the general ledger (i.e., QuickBooks Online Advanced or Intuit Enterprise Suite), we create a modern ERP platform by integrating the general ledger with a cloud based project management tool such as Procore, Buildertrend or Sage CM. Additional tools can be added and integrated as needed: Rippling® or Bamboo HR® for expanded HR and hiring funnel capabilities, LMSs (learning management systems) such as TalentLMS® or Work Ramp®, MDMs (mobile device management software that enables you to remotely administrate computers, phones and tablets) such as Microsoft Intune® or Scalefusion®, payroll systems, timekeeping systems, GPS tracking systems...the list of potential integrations and automations available to you is endless once you unlock true cloud-based technology.

User Experience and Training
The modern ERP platforms we create include intuitive interfaces and mobile apps that make them easier to learn and adopt. In contrast, desktop interfaces are dated and non-intuitive to newer generations of workers who expect mobile-first, user-friendly systems.

Finally, Security and Compliance
The cloud-based ERP platforms we create benefit from continuous updates, encrypted storage, automated backups, and compliance with evolving data protection laws.

Addressing the Elephant in the Room

A Special Note for Users of QuickBooks Desktop Enterprise Contractor's Edition

Okay. So before we go any further here, let's address the elephant in the room. Fact is, many Developers, Homebuilders and General Contractors who use QuickBooks Desktop Enterprise Contractor's Edition attempted to be early adopters of QuickBooks Online and found it to be an unacceptable alternative to the desktop version of the software.
We get it.
But a lot has since changed. Whereas QuickBooks Desktop Enterprise Contractor's Edition used to be the most powerful Construction Accounting application Intuit offered, Intuit's newest offering, Intuit Enterprise Suite, now holds that distinction. This robust, fully-featured Construction Accounting application has been purpose built to replace its desktop counterpart, with a careful eye on Intuit's part toward not making the same mistake it made several years ago when it (prematurely) began moving its Developer, Homebuilder and General Contractor clients off of its desktop offering and over on to QuickBooks Online.
There's more: QuickBooks Online itself, following an "all hands on deck", aggressive development program of updates, upgrades and enhancements, is also now a capable alternative to QuickBooks Desktop in its own right. So there are now two very suitable, and powerful, Intuit-developed options for migrating away from QuickBooks Desktop. Both fully integrate with the most popular project management systems, including Procore, Buildertrend and Sage CM.

Integrating Procore, Buildertrend or Sage CM with Cloud-Based GL Software is Like Flying an Airplane
"Today's QuickBooks
Online, integrated with Procore, Buildertrend or Sage CM, will amaze you. And you can 2X the WOW factor if Intuit Enterprise Suite is the chosen platform."
Experts Make it Look Easy, but...
Integrating QuickBooks Online or Intuit Enterprise Suite with Procore, Buildertrend or Sage CM isn't so difficult to do if you know how. But, much like flying an airplane, disaster often visits those who pretend.
And just as a modern airplane is capable of doing truly amazing things in the hands of a capable pilot, today's QuickBooks Online, integrated with Procore, Buildertrend or Sage CM, will amaze you. And you can 2X the WOW factor if Intuit Enterprise Suite is the chosen platform.
But all of this holds true only when these various programs are set up, integrated and synchronized by someone who knows how to configure and deploy them together, working in concert as one fully-featured construction accounting solution.
In the case of Procore, this integration goes one step further, requiring the deployment of an additional program, a "software bridge" that enables Procore to communicate with the general ledger software. We have experience with each of the various platforms available to meet this challenge, including the Procore-built Connector and the third party system built and supported by SmoothX®.  Each of these various solutions has its advantages and deciding which one to deploy, based on the demands of your operation, will prove to be one of the most critical decisions you make in deploying Procore. As such, it helps immensely to have a trusted, impartial advisor leading you through the thought process that underpins this important decision.

Training will Determine Whether Your Investment in New Software Rocks or Rots
"A 'fullly integrated' training program is a training program that is not software specific but that, rather, trains users on how to use your integrated software stack (e.g., the collection of software programs you have deployed to work in concert with one another) to its fullest potential."
CERTIFIED TRAINING PROGRAMS
Fully Integrated
Training Programs
AND WHAT, EXACTLY IS A "FULLY
INTEGRATED" TRAINING PROGRAM?
A "fully integrated" training program is a training
program that is not software specific but that, rather, trains users on an integrated software stack (e.g., a collection of software programs working in concert with one another) to its fullest potential. Citing examples, Procore, Buildertrend and Sage all offer training programs on their systems. But none of these training programs train users on how to use, manage and administrate, for example, Procore linked with Intuit Enterprise Suite or QuickBooks Online. Our training programs are designed to train users on how to use all of the tools at their disposal as if this collection of tools is, in fact, one ERP-like software program.

Our fully integrated training programs are available as group programs, exclusive to your people, or as group programs with a mixture of people and companies. Exclusive group training programs are ideal for training your staff en mass following adoption of a new platform. Mixed group training programs are ideal for training new hires or for re-training employees needing further learning.

TO DISCUSS HOW AN INTEGRATED
TRAINING PROGRAM WILL BENEFIT YOU

Never underestimate the critical role a "fully integrated" training program plays in the successful deployment of new cloud based software.
While the allure of new, cloud-native software, with its collaboration tools, enhanced scalability, accessibility, and cost-efficiency, is always front and center, driving these transitions, the success of a software migration will hinge, each and every time, on how well the people in your organization adapt to and utilize the new tools you purchase. Forgetting or foregoing a robust training program will lead to decreased productivity, increased frustration, higher support costs or, in the worst of cases, a failed deployment. In our observation this is common with Procore and, to a lesser degree, Buildertrend and Sage CM; the software is installed but no one is knowledgeable enough to use it to its fullest potential. Often, we find, key employees only know how to, and are only doing, the bare minimum. Because they haven't been trained to do anything more.
The moral to this story is a simple one: whenever you migrate from a legacy system to a new software solution, don't make the mistake of underestimating the critical role training plays in a successful deployment. Specifically:

The Imperative of Training

Maximize ROI and Productivity
New cloud-based software such as Intuit Enterprise Suite, QuickBooks Online, Procore, Buildertrend and Sage CM each and all come with advanced features and workflows designed to streamline operations and improve efficiency. But without proper training, your people are likely to only utilize a fraction of these capabilities, essentially limiting your return on software investment. Effective training ensures that users understand the full potential of the new system, enabling them to leverage its features to their fullest, leading to increased productivity and optimized workflows.

Reduce Resistance to Change, Increase Adoption
You should expect that change, particularly if significant and made in established work routines, will be met with resistance. With the people in your organization accustomed to, and comfortable with, legacy systems you should expect that they will be made to feel overwhelmed and threatened by a new interface and processes. Comprehensive training, delivered with patience and clarity and custom tailored to your business and its anomalies, will go a long way toward demystifying the new software, alleviating anxieties and fostering a sense of confidence. This proactive approach to learning will encourage faster adoption and a smoother transition, as your people will be made to feel supported rather than abandoned.

Minimize Errors and Support Costs
An untrained workforce is left prone to making mistakes when navigating unfamiliar software. In the case of Procore, Buildertrend and Sage CM, these errors will range from minor data entry issues to more significant operational blunders, leading to reworks, scheduling issues and, in the end, financial losses. Moreover, a lack of understanding will likely lead to a surge in help desk inquiries and IT support tickets, significantly increasing operational costs. All of our training programs are carefully structured to proactively address common pain points and provides users with the knowledge and confidence to troubleshoot minor issues themselves, thereby reducing the burden on IT support and minimizing errors.
Our training programs also pay for themselves, particularly where the program being adopted is Procore or, to a lesser degree, Buildertrend or Sage CM; learning to use these programs properly takes time and an untrained PM team will cost you real money - please believe us when we say this!

Enhance Data Security and Compliance
Cloud-based software, by its very nature, involves data being stored and accessed remotely. While cloud providers such as Intuit, Procore, Buildertrend and Sage each do an excellent job of employing robust security measures, the actions of your own people will play a crucial role in maintaining the integrity and security of your data. Our comprehensive training programs include best practices for data handling, password management, identifying phishing attempts and understanding compliance requirements specific to the new software. This ensures that your people become an active part of your security strategy rather than a potential vulnerability.

Boost Employee Morale and Retention
Investing in employee training demonstrates a commitment to the professional development and well-being of your team. When employees feel equipped and confident in using new tools, their job satisfaction increases. Likewise, a lack of training can lead to frustration, reduced morale and, worst case, a higher turnover rate as employees seek environments where they feel more competent and better supported.

Foster a Culture of Continuous Improvement
The implementation of new software is an opportune moment to embed a culture of continuous learning and adaptation within an organization. Our training programs are designed not just to introduce the new system but also to encourage employees to explore its capabilities, provide feedback, and contribute to ongoing optimization.

Key Considerations for an Effective Training Program

To maximize the effectiveness of training when transitioning to cloud-based software, organizations should consider the following:

Look for Tailored, Fully Integrated Training Programs
One-size-fits-all training rarely works. That's why all of or trainings are customized to different user groups (e.g., executive team, administrative staff, PM team, estimating, sales, accounting & finance) based on their specific roles and interaction with the new software.

And let us take this opportunity to once again climb up on our soap box, because this is an important distinction that cannot be overstated: all of our training programs are "fully integrated" training solutions. And what, you ask, is a fully integrated solution?

A fully integrated training solution is a training program that doesn't limit itself to a particular piece of software but that, rather, trains users on an integrated software stack (e.g., a collection of software programs working in concert with one another) to its fullest potential. Citing examples: Procore, Buildertrend and Sage all offer training programs on their systems. But none of these training programs train users on how to use, manage and administrate, for example, Procore linked with Intuit Enterprise Suite or QuickBooks Online.
Blended Learning Approaches
Our training programs combine various training methods such as in-person workshops, online modules, video tutorials, and self-paced learning. This allows you to cater to a diverse roster of people with unique learning styles.
Plan for Time Conflicts and Constraints
Our training programs offer a variety of scheduling options, in anticipation of time conflicts and constraints.
The Bottom Line

The decision to replace legacy software with new, cloud-based solutions represents a significant strategic investment. To unlock the promised benefits of collaboration, enhanced efficiency, scalability, and innovation a parallel and equally significant investment in comprehensive employee training is non-negotiable. By prioritizing effective training, you mitigate risks, accelerate adoption, maximize return on investment and empower your workforce to thrive in a technologically advanced environment, ultimately paving the way for long-term success.
